ScareZone Board

For haunted houses, haunted trails and hayrides

Who's in which zone, what's broken, how much fog is left: haunted house software for show nights

ScareZone Board is haunted house software for seasonal haunted houses and haunted trails that keeps the nightly scare-zone board, the prop and animatronic repair log, and the fog fluid and effects supply count in one place. It replaces the whiteboard in the actor tent, the radio call about a dead animatronic, and the Saturday with no fog fluid.

Your haunted house checklist for tonight: three questions, one screen

Today the answers live on a whiteboard, in a group text, and in one person's Google Sheet. The Tonight page answers them before the line opens.

1

Who is in which zone?

Empty slots show by zone. Call-ins and swaps update the board, and the board is kept, so next week you can see who worked where.

2

What is broken?

Props are reported with a photo, not shouted over the radio, so the tech hears about it before the scene fails.

3

Do we have enough fog?

Supplies at or below their reorder level, counted after Friday instead of discovered on Saturday when the Halloween supplier is closed.

Haunted house actors, zone by zone

Assign your cast members to scare zones for each show night, with their character and position. Copy last night's board in one click. Captains mark check-ins, call-ins and no-shows from their phones, and every actor builds a season of zone history you can read when you plan next year's cast.

Animatronic repair, with the history

Every animatronic, pneumatic, light and fog machine has a status. A report opens a repair ticket with a photo; the tech writes down what was tried, so when the same drop panel fails next weekend the history is already there.

Fog fluid and effects stock

Fog and haze fluid, stage blood, batteries and pneumatic parts, each with a count and a reorder level. Captains log what their zones used; techs log restocks. Export the counts before you order.

Who logs in

Each crew member sees their part of the haunt

Owner

Sets up attractions, scare zones, props and supplies, invites the crew, and pays the bill. Sees everything.

Zone Captain

Sees only the zones they lead: checks actors in, marks call-ins and moves, reports a broken prop with a photo, logs supplies used.

Tech

Works the repair queue: picks up tickets, writes down what was tried, waits on parts, and keeps the supply counts honest.

Haunt Manager

Runs the season day to day across every attraction: boards, actors, props and supplies, without access to billing.

A Saturday in October, from call time to close

6:00 PM

Call time

Captains open their zones on their phones. Last night's board was copied this afternoon; the two call-ins are already marked and the open slots show in red.

6:40 PM

Tech walk

The tech works the repair queue: the drop-panel scarer is still down, so the Butcher Shop captain knows to run the scene without it.

7:00 PM

Doors

The owner opens the night. A captain moves an actor from the Swamp into an empty Clown Alley slot, and the board updates for everyone.

12:30 AM

Close

Captains log the fog fluid and blood their zones burned. The night is closed and kept: who worked where, who called in, what broke.

Pricing

Pay for the season: the yearly price is about five months

Most haunts open 15 to 30 nights a year. Pay monthly through September and October, or once for the year. Every plan starts with 14 days free.

Haunted house software questions

What does haunted house software do that a whiteboard doesn't?

The whiteboard in the actor tent is erased every night, so nobody can see later who worked which zone, who called in, or which prop failed last weekend. ScareZone Board keeps each show night's board, every repair ticket with its notes, and every fog fluid count, so the history is there when you plan the next night or the next season.

Is there a haunted house checklist for opening night?

The Tonight page is that checklist: empty actor slots in each scare zone, every prop that is down or needs repair, and every supply at or below its reorder level, for the night ahead. Captains see their own zones; techs see the repair queue and the supply counts.

How do zone captains use it during the show?

On their phones, in the browser, with nothing to install. A captain sees only the zones they lead: they check actors in, mark call-ins and no-shows, move an actor into an open slot, report a broken prop with a photo, and log the fog fluid or blood their zones used.

Does it schedule or hire haunted house actors?

No. ScareZone Board doesn't post shifts, take applications or run payroll. It keeps your cast list (imported from a spreadsheet), who works which zone each night, and each cast member's zone history for the season. Keep your hiring and ticketing tools.

Can it track animatronic repair?

Yes. Every animatronic, pneumatic prop, light and fog machine has a status. A reported problem opens a repair ticket and marks the prop down or needing repair; techs add notes on what they tried, wait on a part, and close the ticket, which puts the prop back to working.

We run more than one attraction. Does that work?

Yes. Each attraction has its own scare zones and show nights. Haunt plan covers one attraction, Crew two, and Park as many as you run, with Haunt Manager logins that run the season without seeing billing.

Is there a free trial?

Yes, 14 days with no card. If it runs out before you choose a plan, nothing is deleted: you can still read every board, ticket and count, you just can't add new ones.
